Organisational information
- Do I need authorisation to research in the archive?
No, anyone can conduct research in the Landesarchiv NRW. Different conditions may apply to archive material that is not yet freely accessible due to retention periods.
- Do I need to register in advance or make an appointment?
No, you can visit the reading room during opening hours without an appointment. In order to be able to start your research straight away, it is often advisable to contact the archive in advance and order archive materials.
- Can I order the files before my visit to the reading room?
Yes, you can order archive materials in advance both via the archive.nrw.de portal and via your contact person at the State Archives. Please ensure that the archive you wish to visit is selected for the search in the portal. Files are retrieved at certain times.
- Are there any restrictions on the number of files I can view?
Yes, to protect the records and so that all users can have their records presented to them, there is a limit on the number of records that can be ordered per day.
- Are there workstations or reading rooms where I can carry out my research?
Yes, workstations are available in our reading rooms. There are PC workstations and the possibility to connect your own laptop to a power socket. Devices are also available for the use of microfiches.
- Is there Wi-Fi access or other digital resources on site?
Yes, WLAN is available in the reading rooms. If you are not bringing a laptop, you can do your research at the PC workstations. Other websites can be accessed via WLAN using your own mobile device.
- Are there fees for using the archive or for certain services (e.g. copies, scans)?
No, there is no charge for using the Landesarchiv. If you order copies, you will be issued with a fee notice.
- Which payment methods are accepted?
Only cashless payment is possible in the reading rooms of the Landesarchiv NRW. If you have received a fee notice, this can be paid by bank transfer.
Holdings
- What collections does the archive hold?
The Landesarchiv NRW mainly holds documents from the state authorities. These include, for example, ministries, district governments and courts. There are also documents from the predecessor states, such as documents from the early Middle Ages. In addition, our archives also hold estates, seal stamps, records of uprisings, civil status registers, association documents, party documents, etc. The list is very diverse.
- How are the archive's holdings organised?
Archive collections are usually organised according to the so-called provenance principle. This means that the documents are organised into units according to their origin. Each department of the Landesarchiv has its own tradition of naming holdings. As a result, the designations may differ considerably.
- Are there estates or collections of specific persons or institutions?
Yes, the Landesarchiv also takes on non-state archive material. These are the estates of politicians or the archives of associations. We are always on the lookout for historically valuable documents.
- Are there audiovisual materials or digital media in the archive?
Yes, our archives also include photos, films and sound recordings. The digital file has been introduced and used in the state administration for several years. In future, this form of file will also be accessible. Digitised files that are no longer to be issued in paper form for reasons of conservation can already be used either in the reading room or online.
- Is there information on holdings that have already been digitised or restored?
Yes, on the department pages you will find overviews of holdings that have been digitised. You will also find a list of holdings that are currently not usable, for example due to restoration work.
Research and use
- How do I find specific documents on my research topic?
Narrow down your topic and think about the details. Which years are relevant, at which authority could files on the topic have been created? Based on this, contact the archive that could have taken over the documents. A search at archive.nrw.de can provide initial clues as to suitable archives.
- Can I make copies or scans of the documents?
Yes, in principle you can take photos yourself in the reading rooms and also order copies. However, you must check with the reading room staff in advance that there are no legal requirements, such as copyright or personal rights, that prevent this.
- Are there experts who can help with research?
Yes, you are always welcome to contact the Landesarchiv directly. Someone from the relevant department will give you an overview of suitable sources. If you would like someone to do the elaboration of the sources for you, you can commission a service provider for a fee. You can find an initial overview on the ‘Family research’ page.
- Are workshops or introductory courses on using the archive offered?
Once a year, a source workshop is organised for students in the Rhineland Department. There are educational archive programmes for school pupils. Occasionally there are workshops on genealogical research.
- Can the archive help you make contact with other archives or institutions?
Our colleagues can point you in the direction of other institutions if they might have relevant sources. You are responsible for making contact yourself.
- What additional resources (e.g. reference literature, internet access) are available on site?
There are reference libraries in the reading rooms of the State Archives. You can order books there and consult them on site. Analogue finding aids are also still available. A small reference library contains books on historical auxiliary sciences, among other things.
Rights and use
- What restrictions apply to the use of the holdings?
Archive records are subject to the Archives Act. According to this, there is a general protection period of 30 years after the creation of the file and personal protection periods of up to 110 years after the birth of a person. Other regulations may apply in individual cases, for example the Civil Status Act. If a file is blocked, a special authorisation can be applied for.
- May I take photographs of the documents?
Yes, free files without material that could be protected by copyright may be photographed in individual cases. However, the reading room staff must check each archive file before photographing it.
- How do I apply for access to restricted collections?
If you would like to view archive materials that are not yet freely accessible, you can apply for special authorisation.
- Are there any restrictions regarding the reproduction of materials (e.g. maximum number of copies, quality restrictions)?
- How do I cite materials from the archive correctly?
You will find information on how to cite materials in the ‘Use’ section. As a general rule, the department, the shelfmark and, if applicable, the fonds name and the number of the individual cataloguing unit must be clearly stated.
- What conditions apply to the use of reproductions in publications?
If you would like to use an image of an archival item for your publication, you must apply for publication authorisation in advance.
